Thank you for your willingness to organize a Technical Symposia at the FPS International Conference on Wood Adhesives being held September 30 to October 2, 2020 at the Portland Hilton Downtown Hotel in Portland, Oregon, United States. Your involvement and efforts are the key to a successful conference.

Technical symposia will be organized around specific topics of interest. The goal of the symposium organizers is to gather together a critical mass of people with expertise and interest in the topic. The critical mass of expertise at the conference should be assured by the combination of technical symposia organizers and invited oral presenters. By assembling the technical symposia organizers and invited oral presenters a year in advance, the conference organizers can better advertise and promote the technical symposia to increase the number of submitted offered presentation abstracts and conference attendees interested in the technical symposia. Research/Development contribution from our industry on organizing committees is highly encouraged.

Technical symposia will be composed of invited oral presentations, offered oral presentations, and offered poster presentations. All invited and offered oral presentations will be 20 min. During the conference, technical sessions will be organized in blocks of 80 minutes. Depending on the size of the technical symposia, the technical symposia will be span one to four 80-minute blocks. Therefore, the number of oral presentations will equal the number of 80 minutes blocks multiplied by four. For example, a technical symposia with two 80-min blocks will have eight oral presentations. A combination of invited and oral presentations is recommended for each 80 minute block. Offered poster presentations will be grouped together in the conference poster session held during one of the evenings. Offered oral presentation abstracts that do not fit into the 80-minute blocks could be offered a poster presentation. If there are last-minute cancelations, the best posters should be offered an oral presentation to take the place of the cancelled oral presentation.

November 3, 2019 – List of confirmed invited speakers is due

December 3, 2019 to February 16, 2020 – General call for offered presentations is open

March 23, 2020 – Offered abstract decisions and tentative oral session schedule are due

June 30, 2020 – Finalized symposium sessions, including oral session moderators, are due

September 30, 2020 – Conference begins

Technical symposia organizers’ responsibilities (important dates are in red):

  1. Submit a Technical Symposium Proposal Form by August 5, 2019. The form includes the Technical Symposia title, list of organizers, scope, list of potential invited speakers and their topics, number of 80-minute blocks requested, and expected number of presentations.
  2. Technical symposia organizers will be notified by the FPS International Conference on Wood Adhesives planning committee by September 4, 2019 about the acceptance of their proposal. If any changes to the symposium proposal are needed, the planning committee will discuss them with the symposium organizers.
  3. Immediately after final approval of the symposium proposal, the symposium organizers should begin inviting speakers for the invited oral presentations. By November 3, 2019, the symposium organizers must provide the planning committee with a list speakers who have accepted the invitation to give an invited oral presentation. The titles of the presentations should be included in the submitted list. Invited speakers will be expected to register and attend the conference.
  4. On December 3, 2019, the general call of offered oral and poster presentations will be opened. The call will include the list of technical symposia with their organizers, scope, and invited oral presentations. Technical symposium organizers are encouraged to promote their symposia through their networks. People may submit offered oral and poster presentations to any of the technical symposia. There will also be a ‘general’ symposium for any abstracts that do not fit in to the listed symposia. The call for offered presentations will close on February 16, 2020.
  5. Technical symposia organizers will be given all offered abstracts submitted to their symposium. It is the responsibility of the symposium organizers to determine whether or not to accept an abstract and to choose the oral presentations to fit into their 80-minute session blocks. If a submitted abstract does not fit into the symposium, the organizers should notify the planning committee to transfer the abstract to another symposium. Depending on the number of abstracts submitted to each symposium, the planning committee may need to make adjustments to the number of 80-minute blocks assigned to each symposium. The symposium organizers must submit their decisions and tentative session block schedules by March 23, 2020.
  6. On April 1, 2020 the offered presenters will be notified concerning the acceptance of their abstracts. The offered presenters have until May 31, 2020 to confirm their attendance. During this time, the symposium organizers will be notified if any of their presenters decline the presentation. If the presentation was an oral, the symposium organizers should immediately find a replacement. Invited and offered presenters must be registered for the conference by June 30, 2020.
  7. Symposium organizers must indicate who will moderate each session block by June 30, 2020. The moderators should be a session organizer or a well-regarded researcher who can facilitate discussion and provide perspective during the session.
  8. The technical program will be finalized and posted on the website by July 30, 2020. f any presenters pull out of the conference after this time, the symposium organizers will be immediately notified and responsible for finding a replacement.
  9. The conference will be held September 30 to October 2, 2020. Symposium organizers are expected to attend. During the opening plenary session, each Technical Symposium will be given a short (3-5 minute) time to introduce the symposium to all of the conference attendees.
